Booking & Cancellation Policy – Summary

At Vamp Cosmetic Clinic, appointment times are reserved exclusively for you. Late cancellations, rescheduling, or missed appointments prevent us from offering this time to other clients.

By booking an appointment with Vamp Cosmetic Clinic, you agree to the following policy.

Card on File

All bookings require a valid debit or credit card to be securely held on file.

Without valid card details, we are unable to confirm your appointment.

By providing your card details, you authorise Vamp Cosmetic Clinic to charge applicable cancellation fees, deposits, or outstanding balances in accordance with this policy.

Clients are responsible for ensuring their card details are valid and have sufficient funds available when fees become payable.


Complimentary Consultations

(Registered Nurse or Dermal Therapist)

Consultations with our Registered Nurses or Dermal Therapists are complimentary and limited to 15 minutes, either in person or by phone, unless extended at the discretion of the provider.

If you cancel, reschedule, or fail to attend a complimentary consultation with less than 24 hours’ notice, a $50 cancellation fee will be charged.


Doctor Consultations

Consultations with our doctor attract a $150 consultation fee, unless otherwise specified.

The consultation fee may be applied toward treatment performed on the same day or within 7 days of the consultation.

If treatment is not undertaken within this timeframe, the $150 is retained as payment for the consultation.

Doctor consultations are limited to 15 minutes, unless extended at the doctor’s discretion.


Appointment Cancellations

Appointments under 45 minutes

A minimum of 24 hours’ notice is required to cancel or reschedule.

If cancelled within 24 hours or if you fail to attend, a $50 cancellation fee will be charged.

Appointments 45 minutes or longer

A minimum of 72 hours’ notice is required to cancel or reschedule.

A deposit of up to 50% of the treatment or package price may be required to secure these appointments.

If cancelled within 72 hours, the deposit will be forfeited.


High-Complexity Treatments

The following treatments require significant clinical preparation and appointment time:

• miraDry®
• CO₂ Laser Resurfacing (Deep or Light)
• MINT Thread Lift

These treatments require a deposit of up to 50% of the treatment cost.

If you cancel within 72 hours or fail to attend your appointment, the full treatment fee may be charged.


Pre-Paid Treatment Packages

If you cancel late or fail to attend a treatment booked as part of a package, you may choose to forfeit one treatment session from your package.

If the value of the treatment session is less than $50, the $50 cancellation fee will be charged instead.


Failed Card Payments

If a cancellation fee or outstanding balance cannot be processed due to insufficient funds, expired card, or payment failure:

• The outstanding balance must be paid before future appointments can be booked.

Repeated failed payments may result in pre-payment being required for all future bookings.


Appointment Reminders

Clients will receive appointment reminders via SMS and/or email as a courtesy.

These reminders do not replace the client’s responsibility to remember their appointment.


Repeat Late Cancellations

Clients who repeatedly cancel, reschedule, or fail to attend appointments may be required to pre-pay in full for future bookings or may be unable to book future appointments at Vamp Cosmetic Clinic.

This policy ensures fairness to both our clients and our clinical team.

By booking an appointment with Vamp Cosmetic Clinic, you acknowledge that you have read, understood, and agreed to the following terms.

Complimentary consultations are available for clients seeking advice about specific treatments offered at Vamp Cosmetic Clinic.

Conditions of complimentary consultations:

• Consultations are limited to 15 minutes
• Available in person or by phone
• Consultation time may be extended at the discretion of the provider

Although the consultation itself is complimentary, clinical staff time is reserved specifically for you.

Late Cancellation or Non-Attendance

A $50 cancellation fee will be charged if:

• You cancel or reschedule within 24 hours of the appointment
• You fail to attend your scheduled consultation

This fee helps cover staffing costs allocated to the consultation.


3. Doctor Consultations

Appointments of 45 minutes or longer require significant clinical time allocation.

A deposit of up to 50% of the treatment or package price may be required to secure the appointment.

A minimum of 72 hours’ notice is required to cancel or reschedule these appointments.

If cancelled within 72 hours, the deposit will be forfeited.


5. High-Complexity Procedures

Certain treatments require extended appointment times, preparation, and dedicated clinical resources.

These include but are not limited to:

• miraDry®
• CO₂ Deep Laser Resurfacing
• CO₂ Light Laser Resurfacing
• MINT Thread Lift

A deposit of up to 50% of the treatment cost is required to secure the appointment.

If you cancel within 72 hours, or fail to attend without notice, the full treatment fee may be charged.


6. Pre-Paid Packages

For treatments purchased as part of a pre-paid package, if an appointment is cancelled within the restricted notice period or missed without notice:

Clients may choose to forfeit one treatment session from the package.

If the value of the forfeited treatment is less than $50, the $50 cancellation fee will be charged instead.


7. Failed Card Payments

If a cancellation fee or outstanding balance cannot be processed due to:

• insufficient funds
• expired card
• locked card
• payment failure for any reason

The outstanding balance must be paid before any future appointments can be booked.

If payment attempts fail on two or more occasions, Vamp Cosmetic Clinic reserves the right to:

• decline future bookings, or
• require full pre-payment for future appointments


8. Late Arrivals

If you arrive late to your appointment, your treatment time may need to be shortened to accommodate other scheduled clients.

If there is insufficient time to safely perform the treatment, the appointment may be considered a late cancellation, and cancellation fees may apply.


9. Repeat Late Cancellations

Clients who repeatedly cancel, reschedule, or fail to attend appointments may be required to pre-pay for future bookings or may be unable to book further appointments at Vamp Cosmetic Clinic.


10. Appointment Reminders

Appointment reminders are provided via SMS and/or email as a courtesy.

These reminders do not replace the client’s responsibility to remember their scheduled appointment.


11. Policy Updates

Vamp Cosmetic Clinic reserves the right to update or modify this policy at any time without prior notice.

Our reception team will assist you during clinic hours.

Cancellation and rescheduling requests must be received within the required notice period outlined in this policy in order to avoid cancellation fees.


Important

• Messages left outside of clinic hours will be processed when the clinic reopens.
• The time the message was received will be used to determine whether cancellation fees apply.
• Cancellation requests sent via social media platforms or direct messages (such as Instagram or Facebook) may not be monitored in real time and should not be relied upon for time-sensitive cancellations.
